Tender alerts: why email alerts lose to an agent that qualifies

A tender alert is an email a portal sends when a new notice matches a saved keyword or CPV code. It tells you that something was published; it does not tell you whether you are allowed to bid, whether you could win, or whether the deadline is reachable, and those three questions are where the time goes. This page is about closing that gap.

On 22 September 2026 Germany's Bekanntmachungsservice published 1,156 notices, 886 of them (77%) not on TED; Latvia published 279, 258 of them national only.

Every official register offers alerts, and they are free. GOV.UK's Contracts Finder page puts it plainly: "You can create an account to get email updates and save your searches." TED, Find a Tender and the national portals do the same. The question is not whether to have alerts. It is what to do with the forty emails they produce.

What does a tender alert actually check?

One thing: does the new notice contain your saved term or carry your saved code. A keyword alert for "software" fires on a hospital's laboratory information system, a council's advertising contract and a framework for printers, because the word appears in all three. A CPV alert is tighter and still coarse: the codes describe the subject of the contract, not who is fit to deliver it.

An alert does not check the selection criteria, the estimated value, the lot structure, the working days to the clarification deadline, or whether an incumbent runs the system being bought. Those are the facts that decide the bid, and they are in the notice and the tender documents, not in the subject line.

Why does the volume make this worse?

Because alerts scale with publication, and publication is large. On 22 September 2026 Germany's Bekanntmachungsservice published 1,156 notices, and 886 of them, 77%, never appeared on TED. Latvia published 279 that day and 258 were national only; Lithuania 124, with 100 national only. A supplier watching three countries by keyword receives a stream nobody reads past the subject line, and an alert nobody reads is a notice nobody saw.

The failure is quiet. The bid you missed was in the inbox, unopened, between two irrelevant ones. More email does not fix that.

The sheet says which facts rest on the notice alone. For all three, the procurement documents sit behind a login on CVP IS, so the eligibility check came back as a list of questions for the documents rather than a pass. What does this cost, honestly?

Questions people ask

Should I switch off my portal alerts? No. They are free, official and the fastest signal that a notice exists. Keep them as the raw feed. The change is what reads the feed: a person skimming subject lines, or an agent that opens each notice and checks it against your profile before you see it.

Can an alert be set on selection criteria instead of keywords? Not on the official portals. Alerts match on the searchable fields, which are title, description, buyer, location and CPV. Selection criteria live in the notice body or the tender documents, which is why they need reading rather than matching.

How is an agent different from a tender management dashboard? A dashboard is another place to log in and another list to work through. An agent works inside the AI you already have open, answers in that window, and the qualification is a conversation you can push back on, one factor at a time.
